Fit Force Booking Terms & Conditions
1. Who we are
These terms apply to classes, block passes and memberships booked with Fit Force ("we", "us").
- Fit Force is the trading name of Michelle Annetts, sole trader.
- Address: 154 Paradise Lane, Crockerton, Warminster, BA12 8AW.
- Email: info@fit-force.co.uk.
- Telephone: 0788 257 2122.
By ticking "I agree to the terms" when you book, buy a pass or join a membership, you agree to these terms. Please read them, and our Privacy Notice, first.
2. Booking and payment
All classes are booked in advance through our website, and your place is confirmed when we email you a booking confirmation.
- You can pay for a single class (drop-in), use a credit from a block pass, or use your monthly membership.
- Card payments are taken securely by Stripe on its own payment page. We never see or store your card details.
- Online bookings close 30 minutes before a class starts. Classes can be booked up to 6 weeks ahead.
- Each class has a limited number of places, shown on the timetable. Please only book classes you intend to attend.
- If you start paying but don't finish, your place is held for about 35 minutes and then released.
- If we've agreed you can pay another way (for example cash), we'll add your booking for you.
- Prices are shown on the website in pounds sterling and include any VAT that applies.
3. Cancelling a booking, late arrival and missed classes
You can cancel a class from My bookings up to 24 hours before it starts and get the class back as a credit.
| When you cancel | What happens |
|---|---|
| 24 hours or more before the start | Drop-in or pass booking: a class credit goes to your account, valid for 90 days. Membership booking: the class goes back into this month's allowance. |
| Less than 24 hours before the start | The class counts as used. No credit, no refund. |
| You don't come and don't cancel | The class counts as used. No credit, no refund. |
- Credits can be used to book any class. You can't exchange them for money.
- If the online cancel button has closed and there's a genuine emergency, contact us. Any credit given is at our discretion.
- You can't transfer a booking to someone else, but you can cancel in time and use the credit for another class.
- Late arrival: please arrive 10 minutes early. If you arrive more than 10 minutes after the start, we may not let you join, for your safety, because you've missed the warm-up. The class then counts as used.
- Nothing in this section affects your 14-day right to cancel a pass or membership (section 6), or your rights if we cancel (section 11).
4. Block passes and credits
A block pass is a bundle of class credits at a discount, and each credit books one class of any type.
- Each pass shows how many classes it includes and how long it lasts. Credits not used by the expiry date are lost and aren't refunded.
- Credits are used soonest-expiring first.
- Passes are for the person who bought them and can't be shared or transferred.
- If you cancel a pass booking in time, the credit comes back (section 3).
- We may change pass prices for future purchases. A pass you've already bought keeps its price and its credits.
5. Monthly memberships
A membership is a rolling monthly card subscription, billed on the same date each month as the day you joined. It runs until you cancel.
- What's included: each level shows its monthly price and how many classes a month it includes (or unlimited).
- Allowance: your allowance resets on your renewal date. Unused classes don't roll over. You can book classes up to your next renewal date. Classes after that open once the new month starts.
- Payment: Stripe takes payment automatically each month. If a payment fails, Stripe will retry it and we'll email you. You can keep booking for 3 days while it's sorted out. If payment still isn't made, the membership ends.
- Cancelling: cancel any time from My bookings. No other notice is needed. It stops renewing and you keep your membership until the end of the month you've paid for. You can undo the cancellation before then. We don't refund part months.
- Pausing: memberships can't be paused.
- Minimum term: there's no minimum term.
- Price changes: if we change the price of a level, members already on it keep the price they joined at. If we ever need to change your price, we'll email you at least 30 days before it applies, and you can cancel before then.
- Memberships are personal and can't be shared.
6. Your 14-day right to cancel
Block passes and memberships bought online can be cancelled within 14 days of purchase for a refund. Single classes booked for a specific date don't have this right, though you can still cancel them under section 3.
- To cancel, email info@fit-force.co.uk within 14 days of buying, saying what you want to cancel. A clear statement is enough. You can also use the cancellation form in the Forms menu.
- When you buy, you tick a box asking us to start straight away, so you can book classes during the 14 days. If you then cancel after using some of it, we'll take off the value of what you've used and refund the rest. For a pass, that's the pass price divided by its number of classes, for each class booked. For a membership, it's a share of the monthly fee for the days you've had it.
- Refunds go back to the card you paid with within 14 days of you telling us. Banks usually take 5 to 10 working days to show them.
- After 14 days, the normal terms apply: unused pass credits aren't refunded, and memberships are cancelled as in section 5.
7. Health questionnaire (PAR-Q)
You must complete our health questionnaire (PAR-Q) before your first class. You can't take part until we've received it.
- Download it from the Forms menu on the website. A link is also in your first booking email and on your My bookings page.
- Return it by email to info@fit-force.co.uk before your first class.
- Please be accurate about your health, injuries, medication and any medical conditions.
- Tell us before the class if anything changes, including pregnancy, injury or new medication.
- If your answers suggest it, we may ask you to get advice from your GP or another health professional before you exercise.
8. Who can take part
Our classes are for anyone aged 16 and over. If you're 16 or 17, a parent or guardian must give written consent by email, and sign your PAR-Q, before your first class.
- Pregnancy and after birth: tell us if you're pregnant or have had a baby in the last 12 months. Check with your midwife or GP that you can exercise. After the birth, wait until your postnatal check (usually 6 to 8 weeks) before you start. We'll suggest changes to exercises, and some may not be suitable.
- If you have a medical condition or injury, you may be asked to get clearance from your GP first (section 7).
9. Safety in class
- Follow the instructor's safety instructions and use equipment as shown.
- Work at a level that suits your fitness and ability.
- Stop and tell the instructor straight away if you feel pain, dizziness, chest discomfort, shortness of breath or feel unwell.
- Wear suitable clothing and supportive trainers, and bring water.
- Arrive in time to take part in the warm-up and cool-down.
- Don't exercise under the influence of alcohol or drugs.
- We may ask you to stop exercising, or not to take part, if we have a reasonable safety concern.
10. Venues
Classes run at more than one venue, so please check where yours is. The venue and its address are shown on each class page and in your booking confirmation email.
- Please follow the venue's own rules, for example parking, entry times and footwear.
- If we move a class you've booked to a different venue, we'll email you. If the new venue doesn't suit you, contact us, even inside the 24-hour window, and we'll give you a class credit or a refund.
11. If we change or cancel a class
If we cancel a class, we'll email everyone booked and put a class credit in their account straight away. If you'd rather have your money back, contact us within 30 days and we'll refund it to your card.
- Members: a class we cancel doesn't count towards your allowance.
- We'll tell you as soon as we reasonably can, by email.
- Outdoor classes may be moved indoors, changed or cancelled if the weather or conditions make them unsafe.
- We may change the timetable from time to time. Bookings you've already made stay valid unless we tell you otherwise.
- We aren't responsible for travel or other costs if a class is cancelled, except where the law says we are.
12. Respect, behaviour and belongings
- We aim to provide a friendly, inclusive and supportive environment, and expect everyone to treat the instructor and each other with respect.
- Bullying, harassment, abusive behaviour or deliberately unsafe conduct won't be tolerated. We may ask you to leave and may cancel future bookings, passes or memberships. If we do, we'll refund anything unused.
- You're responsible for your own belongings. Keep bags and other items in the area shown so they don't become trip hazards.
13. Your information and photos
We handle your personal and health information as described in our Privacy Notice. It explains:
- what we collect: contact details, bookings, payments, your PAR-Q and any health notes, and why;
- who helps us: Stripe (payments), Brevo (emails) and Google (venue maps on our class pages);
- how long we keep it, and your rights to see, correct or delete it.
Photos and video: we may sometimes take photos or videos for promotion. We'll always ask your permission separately before using identifiable images of you. You can say no without it affecting your classes.
14. Responsibility and your legal rights
- You're responsible for exercising within your abilities an
